An approved Solicitation/Event Request is required for all student sponsored events or events which use facilities and/or outdoor spaces coordinated by units in the Division of Student Affairs. A solicitation/event request must be made seven (7) working days in advance of the event or it will not be approved. Notification of the Dean of Student's approval or rejection of the request will be sent to the requestor via email.

  1. Request the space that you want to reserve by following the instructions listed for the specific space below. Then return to this site and continue with step 2:
    • Black Cultural Center - Online Form
    • International House - Call (865) 974-4453 or visit them in-person at 1623 Melrose Ave.
    • University Center - Online Form
    • Residence Hall Courtyards - Online Form
    • Recsports Facility Reservation Form
    • Academic Classrooms - (HSS, AYRES HALL, ETC...) Call the Office of the University Registrar - Gail Mills (Room Scheduling) (865) 974-1306.
    • Alumni Memorial Building - Email Sherri Satterfield (ssatterf@utk.edu) to check availability. Must submit Solicitation/Event Request before final approval. Charges and fees may apply.
    • Ayres Plaza, South Lawn, and 4th floor - Email Associate Dean Christine Boake (cboake@utk.edu) to check availability. All reservations must include a UTK account number. Click here for detailed instructions for making reservations.
    • Circle Park, Figi Island, the Pedestrian Mall, and Humanities Plaza are reserved by the Office of the Dean of Students. These spaces only require the submission of a Solicitation/Event Request.
      To check availability please the Office of the Dean of Students at (865) 974-3179. We regret that we cannot make reservations or place holds over the phone.
    • All Other Spaces: Contact the Building representative; List of Building Representatives

  2. Gather your event information before you fill out the Solicitation/Event Request:
    • The Solicitation/Event Request asks for a lot of details including (but not limited to): contact info, advisor contact info, dates, times, the type of event, if anything is being sold (what & how much), if food is involved (what & how much), any requests for supplies from the university (including tables and chairs), and more.
    • Licensing: Anything being sold or given away with any UT logos requires the approval of Licensing (Michael Keener 865-974-1444).
